MedDx Capital Advisors – Automating Outreach & Email with AI Precision

MedDx Capital Advisors is a boutique healthcare advisory firm that helps medtech and biotech companies raise capital and structure strategic partnerships. As founder, Jon Vance was caught in the grind—spending most of his day checking emails, responding to inquiries, tracking cold outreach manually, and hopping between Zoom meetings. The operational drag was real, and it kept him from focusing on high-leverage tasks that grow the business.

Beyond that, Jon had a personal mission: to free up time to be fully present for his son’s senior year before he left for college.

That’s where I came in.

My goal was to design a set of intelligent automation systems that would dramatically reduce Jon’s daily admin load, scale his outreach capacity, and give him time back without sacrificing results.

The Build: Two Core Systems

🔁 HyperReply™ – Smart Inbox Automation

We deployed a full-stack email triage system using n8n, OpenAI, and the Gmail API. The system:
• Filters incoming messages to prioritize what matters
• Generates smart replies in Jon’s tone and drops them into his Drafts folder
• Sends a 3x/day email digest summarizing key updates and reminders

With HyperReply in place, Jon cut his email time down from 6+ hours to under 2 hours per day—while staying fully responsive and on-brand.

📬 Cold Outreach Management System

Before automation, Jon was manually sending hundreds of cold emails and had no way to track who had responded or needed follow-up.

We built an outreach engine that:
• Uses AI to generate personalized cold emails
• Tracks every lead and status in a clean database
• Automatically follows up with unresponsive leads using contextual, human-like language

This system lets Jon send hundreds of personalized offers in minutes, with boosted open and reply rates—and zero manual follow-up required.

Engineering the Details

This wasn’t plug-and-play.
• We built a custom Gmail API request to ensure drafted replies stayed threaded in conversation
• Outreach logic required precise syncing between AI-generated content and lead data
• Both systems required careful orchestration of variables, time delays, and dynamic paths inside n8n

With both systems live:
• ⏱️ Jon reclaimed 4+ hours per day
• 📈 Outreach efficiency skyrocketed
• 👨‍👦 He’s spending more time with family, while staying fully in control of his business
